#1886 - Target List

I'm hoping I can receive some help or advice on an issue that I'm having. I created a target list for sugarchimp to send to mailchimp, the list contains our current leads thats I've pulled from a report. Well recently I went in to check on the list within sugar and noticed that under the account sections of the target list, it was populated with some of our current customers. Does anyone know why this has happened? We do not have a sugar "expert" on staff and our consultants are not very intelligent, they tried to tell me sugarchimp was causing issues with sugar.

    Hello, I'm happy to help with this. There are a few scenarios here:

    1) New subscribers in MailChimp are being added to Sugar as Accounts. When looking at your Sugar Target List, there should be a "New MailChimp subscribers created as" field. What does it say there? If someone subscribes to your MailChimp (form a web form, someone on your team manually adds someone in MailChimp), this is the type of record they will be created as in Sugar if they do not already exist. My guess is you want this to be Leads.

    2) SugarChimp matches subscribers in MailChimp and Contacts/Targets/Leads/Accounts by email address. If any updates came through from the MailChimp side for something like info@company.com and both a Lead and an Account have that same email address in Sugar, both records will get added to the Target List. Is this a possibility?

    In case #2, you can really just ignore that the Account records are linked to the Sugar Target List. In general, the Target List in Sugar will never look exactly like what you see in your MailChimp list, the key is that we have all of your unique email addresses from your Sugar Target List in your MailChimp list. We will never create duplicates on either side. Does that make sense?

    3) Lastly, I would be sure to check that you are not syncing any fields from the Accounts module in your SugarChimp Field Mapping. If you go to Sugar > Admin > SugarChimp Field Mapping, select your MailChimp list from the dropdown. If you are only wanting to sync Leads on this list, I would recommend setting all other module fields to "Do not sync". Only in the Leads column do you want to select fields that will be synced between MailChimp and Sugar. After you do this, click continue and save and do not resync.

    My responses: 1) I don't allow anyone to join our mailing list, I use to but the majority of our emails are directed to only customers and then we send an email weekly to our leads. My goal with sugar chimp is for our lead list and our customer list to be automated so I do not have to export from sugar, clean in excel, and upload to mailchimp.

    2) I was thinking if any of our leads have been converted to an account it this may be the case. My target list is pulled from a report I created in sugar so that it is only pulling contacts that have the status as "lead". If they are converted, then they should be removed from the list.

    3) If I'm pulling the information from a report would this matter? The report is setup perfectly to just pull the information I need...Name & Email Address. When I first did the target list, it pulled the information I needed. I only noticed the additional information this morning when I was setting up another email list.

    Hey Chandler,

    It sounds to me that our issue is lying in your Accounts sharing email addresses with your leads / contacts. However, I want to be thorough so we don't run into anything unexpected. Your reports are not going to remove any of your converted leads from the list, only add the new Contacts/Leads to the list. You will have to remove manually.

    Am I correct that your report that is updating the Target List still does not include Accounts? If not, then there must have been some updates to your data in MailChimp that caused SugarChimp to update Sugar (and automatically add matching emails from Accounts to your Target List). Removing Accounts from the Target List will not unsubscribe that email address from MailChimp as long as there is a matching Contact or Lead still on the Target List. However, you could just ignore the Accounts on the Target List. It will not duplicate any data to MailChimp or vice versa.

    To prevent this in the future, you can remove the email address from the account during the Lead conversion process. Because the new Contact is still related to the Account, that information will not be lost. More often than not, that email address for Accounts field is needed for 'support@company.com' or 'info@company.com' instead of a Contact's email address!

    Can you give me some added details into how your list is setup with Contacts and Leads? Are they all on one single MailChimp list? (I believe that is what you are saying). This is definitely the best practice. If so, how are you recognizing in MailChimp who is a Lead and who is a Contact? Have you set up your field mapping to get that done?
