Setting up security correctly can be overwhelming at first. We recommend first completing the Installation Guide and then reviewing the Typical Setup doc. The following features will start to make sense after that.

Multiple group assignments
No limitations on how many groups can be assigned to a record.
Filter search by groups
Add a "Security Groups" field to your search views. With this new field you can filter your search results by the groups associated with records. Need to see just the Leads assigned to the Internal Sales Team? You can now do that. Just go to Studio and add the "Security Group" field to your Basic and/or Advanced search views for any module. All modules are supported except for the Users module.
Custom group layouts
Using the built-in Studio you can add custom layouts for your different groups so that only they can see certain fields. Have fields that your sales team needs, but your support team doesn't? Great for both optimizing the interface by removing unneeded fields and for hiding sensitive information. If you have a user who is in multiple groups then check the "Primary Group" box on the user's main group and this will drive which custom layout will be shown.
Login/Sudo as any user
No more having to pass around passwords. Need to verify that a user is set up correctly or to replicate an issue? Go to the User record and click the "Login As" link in the action bar.
Create versus Edit Rights
A new access level called Create added right to your Role setup grids so that you can separate your users between those who can create new records and those that can edit. The Create permissions work in any combination of uses.
- Create, but cannot Edit
- Create and can only Edit group records
- Cannot Create, but can Edit
- and so on...
Sample use-cases:
- Data entry clerks can only create new records.
- Interns should never be allowed to edit existing records.
- Sales team are always assigned leads from an existing pool. They should never create their own.
If a user doesn't have rights to create new records the create link/buttons will also be hidden on the core modules that SugarCRM ships with and also in the subpanels. For example, if a user cannot create a new note then the "Create Note or Attachment" button will not show in the History subpanel.
NOTE: If after install you do not see the Create column and users aren't able to create records run a Repair Roles which can be found under Admin -> Repair.
See assigned Groups on List View
A new field in Studio called securitygroup_display can be added to your list, popup, detail, and edit views in order to quickly see which security groups are assigned to a record.
Quick role grid setup
Creating a new role can be tedious as you have to set the rights in every grid square. Speed up the process by double clicking the header cell and set the rights for a full column. Then make any edits as needed.
Group message dashlet
Collaborate with other team members via the Group Message Dashlet. Need to send out a message to everyone in your company? Admins have the ability to send a broadcast message.

This popular dashlet will filter so that users can only see and comment on the records that they have rights to.
Works great with custom modules
Have a custom module you want to add Security Groups to? The Hookup Module tool makes it easy to relate Security Groups to any custom module. No coding required! Just go to the Admin->SecuritySuite section and use the Hookup Module tool.
Mass assign/remove from lists
Add or remove groups right from the list view. Need to assign all accounts from a state to a group? Perform the search, select all records, then use the Mass Assign option at the bottom.

I have been using Security Suite for 6.2.0 before, and it was great already. But after I read through this feature list, it makes me thrilled. So many new features come out! Great job! Love you~~

I am trying out the Security Suites for 6.5.11. I created the Group, Roles, and Assignment and all went well with that. But when I went to try the custom group layout feature, the group I created wasn;t there in the Layouts folder....only the Default folder was.

Nevermind on the Studio question, I found the pdf on sugarforge that explained how to add a layout.

"Filter user list by Security Group>" is visible in the shared section of calendar. filtering does work in the sense that if a group is selected, only associated users are listed. However, if no filtering is selected, a user can see calendar of users outside of his group.
is this normal?

Yes, that mimics the functionality of Pro. There is a setting under Security Groups Management Settings on the admin page where you can tell it to force all user lists to be filtered to only show users in the same groups as you are. This should also take affect on the that calendar user list.

Yes you can just like any other module. You can add a group to a task by going to to the detail view of the task and adding the group in the SecurityGroups subpanel.
There are a host of inheritance options to automate that process and even a way for users who are a member of multiple groups to specify which groups should be assigned to a task upon new task creation. See https://www.sugaroutfitters.com/docs/securitysuite/options#creatorgroupselect for more info.

I'm not an expert on ProcessMaker, but it should be possible. I do know that you can with Process Manager: https://www.sugaroutfitters.com/addons/process-manager-enterprise

The PayPal option might be perfect for you then. If not, I'd love to hear what other payment options people are using on a regular basis. If it makes sense, SugarOutfitters could add additional payment options outside of PayPal and credit cards.

You don't. You can use PayPal instead. SugarOutfitters is working on a solution to not require payment info at all upfront for trials, but that is not yet available.
You can also try the Limited plan which is free and requires no payment info.

All of the plans come with a 30 day trial. If you click on the View Pricing button at the top you can see all of the options.

Hi,
we are currently using Sugar Pro 7 & I can't seem to find a way to assign records to groups (rather than individual users). This seems like Sugar Pro 7 has less functionality in this area than Sugar CE 6.5 + SecuritySuite.
Can you comment on that?

Yes, this is true. I'm strongly considering adding a Sugar 7 package which brings some of these features to Sugar 7. Thoughts?

I can't say for certain, but I reckon we are more likely to go with SuiteCRM or CE6.5 + your addon at that level. I'm disappointed with SP 7 teams functionality.... we thought it would suit our needs & I am beginning to think it doesnt

Hi, an update on this - we are now using Teams on Sugar 7, which is lightly documented in the areas it counts, but seems to work for assigning records to groups, I think the functionality of your product is probably still superior (I'd really like Sudo ability for instance), but we will probably be able to make do now. Thanks for good responses though.

Thanks for following up! Sudo is available for Sugar 7 right here: https://www.sugaroutfitters.com/addons/sudo. Lots of users, especially admins, are using it on SugarCRM 7 now.

Hi Jason, My requirement is to have a group mail (inbound mail) accessible to all users in a group. All users in this groups can see all email (received, responded, flagged… ) Is your module do that ?

Hi, you would turn on the "Inbound Email Account" option in Security Suite Settings. Then when you go to the Inbound Email account setup on the Admin page you can assign different groups to the inbox.

We're trying to create a custom layout for a new group, but some of the fields we want to hide are marked as 'Required' as it is needed for other groups. Is there a way to make these fields not required for the new group so we do not have to add them to the layout?

I'm pretty sure that Sugar will not make it required if you completely remove it from the layout. Give that a try and see if that works for you.

Yeah, it goes deeper since I can't get anything to work in the way of making Requirements dependent on other things. Have no issues with dropdowns and read-only dependencies.

Hello i have a group which the supervisor are in the same group, but all group can check the calendar of each other i want supervisor only who can check the calendar of his group thank you very much !!

That is as designed, but you can alter the logic for your needs by editing modules/Calendar/CalendarDisplay.php. Look for the SECURITY GROUPS code block. You will want to make it so that only your supervisor can select the groups.

Sorry, I am unsure how to help then. Our shared calendar feature isn't in the base SuiteCRM calendar functionality. If you were using our SecuritySuite product here and had it installed in your SuiteCRM then you would see that code block.

Can I set permissions over ONE SPECIFIC FIELD, so a group can view the field, some other group can also edit that field? Thanks !

Not currently. We are looking at possibly adding this to the Enterprise plan. For now we recommend using a custom group layout instead, if possible. Otherwise the work around would be to add that dynamic logic in the view.edit.php view for that module.
